Visitor and Contractor Site Management

Site management procedure for everyone who is not a facility employee, covering pre-arrival approval and insurance verification for contractors, sign-in and identification at a single controlled entrance, a safety briefing sized to where the person is going, badge and escort rules by visitor type, the permit and hazard coordination a contractor needs before work starts, an accurate live record of who is in the building for an evacuation, and sign-out with a work completion check.

Audience
The facility manager, the reception or front-office staff who receive visitors, the supervisors who escort and host, the safety owner who approves contractor work, and the contractors and vendors working on site

What is in the procedure

8 sections. Regulatory language is fixed and passes through verbatim. Sections marked customized get rewritten around your facility, your equipment, and your job titles.

  1. 01

    Purpose

    Fixed

This procedure controls who enters the facility, where they may go, what they are told before they go there, and how the facility knows they have left.

  2. 02

    Scope

    Customized

This procedure applies to every person on site who is not an employee of this facility, from the moment they arrive at the gate or the door until they leave.

  3. 03

    Responsibilities

    Customized

The site access owner administers the program: maintains the visitor and contractor log, holds the badge stock, keeps the contractor approval file with insurance and qualification records, and audits the process.

  4. 04

Procedure: Arrival, Identification, Sign-In, and Briefing

    Customized

    1. Everyone enters through the designated entrance and signs in before going anywhere else.

  5. 05

Procedure: Escort Rules, Access Limits, and Conduct on Site

    Customized

    1. Visitors are escorted on the warehouse floor at all times by their host or a designated employee.

  6. 06

Procedure: Contractor Approval, Hazard Coordination, and Permits

    Customized

    1. A contractor is approved before arrival, not at the door.

  7. 07

Procedure: Emergency Accountability, Sign-Out, and Records

    Customized

    1. The visitor and contractor log is the evacuation roll for everyone who is not on the employee roster, so it is accurate in real time and a copy is retrievable from outside the building.

  8. 08

    References

    Fixed

The facility visitor and contractor log, which doubles as the evacuation roll for non-employees.

Visitor and Contractor Site Management: no regulation to cite

No public-domain regulation governs this procedure, so it cites nothing rather than inventing authority. It documents the process discipline customers, insurers, and auditors ask to see in writing.

Compliance checklist

What an inspector looks for

  • Everyone on site who is not an employee entered through the designated entrance and is recorded on the visitor and contractor log with arrival time, host or work purpose, and badge number

  • Every person on the floor who is not an employee is wearing a visible badge whose type matches their access category and the required PPE for the area

  • The safety briefing was delivered before floor entry and acknowledged by signature, and covers alarm, evacuation route, assembly point, traffic rules, PPE, hazard reporting, and escort rules

  • Visitors are physically escorted on the floor, and any contractor working unescorted has written approval naming the area and period

  • Contractors have a current insurance certificate, the qualifications their work requires, and a method statement on file, verified before arrival

  • A documented pre-work coordination was held for each contractor job, covering hazards in both directions, isolation and barricading, and the communication route

  • Contractor permit work followed the facility hot work, lockout tagout, and sprinkler impairment procedures, with lock and tag arrangements reconciled between both programs before any isolation

  • Contractor work areas are barricaded and signed, and no tools, cords, or materials are left in aisles or egress routes between work periods

  • No outsider operated facility equipment, and access to secure or customer-restricted areas was separately approved and recorded

  • A current copy of the visitor and contractor log is retrievable from outside the building and is reconciled at the assembly point during drills

  • Everyone signed out and returned their badge, contractor sign-out recorded work status and anything left isolated or out of service, and the daily reconciliation closed out any open entries

  • The periodic floor audit found every non-employee badged, briefed, on the log, and escorted where required, and any exception was recorded and corrected
