Scale Calibration and Weights and Measures Compliance

Scale management program covering the register of every weighing device in the facility and what each is used for, the difference between a device used for a commercial transaction and one used only for internal checks, service and inspection by a licensed scale service agency, daily operator zero and known-weight verification with a recorded result, the out-of-service rule when a device fails a check, correct use including capacity, level, and off-center loading, and the records a customer, a carrier, or a state weights and measures inspector expects to see.

Audience
The operations manager, the shipping and receiving supervisors, the maintenance owner who schedules the service agency, and every operator who weighs freight, cartons, or parcels

Scale Calibration and Weights and Measures Compliance: no regulation to cite

No public-domain regulation governs this procedure, so it cites nothing rather than inventing authority. It documents the process discipline customers, insurers, and auditors ask to see in writing.

Compliance checklist

What an inspector looks for

  • A device register lists every weighing device with its asset number, capacity, location, and a stated use classification of commercial or internal only

  • Every device used only for internal checks is physically labeled so its reading cannot be mistaken for a document weight

  • Every commercial device has a current service and test record from a licensed scale service agency, at least annually and after any relocation, repair, impact, or suspected overload

  • Where the state or local authority inspects and seals commercial devices, the current inspection or seal status is recorded and the seal is intact and unbroken

  • Each service report identifies the device by asset and serial number and states as-found readings, adjustments, as-left readings, and the test weights used

  • Every service report was reviewed on receipt, and any out-of-tolerance as-found result triggered a review of shipments weighed since the last passing test and a documented notification decision

  • Daily operator verification of zero and a known test weight was performed and recorded for every device before use on each shift, with failures recorded as well as passes

  • Certified test weights are held, secured, and were checked by the service agency at the last visit

  • No device was adjusted, calibrated, repaired, or resealed by facility staff, and no seal applied by the authority or the agency has been broken

  • Any device that failed verification was tagged out of service, physically prevented from casual use, and had a work order raised the same shift, with weighing routed to another verified device

  • Loads are weighed within device capacity, centered on the platform, free of fouling against racks, walls, or door frames, and read after the display stabilizes

  • Weights on outbound documents came from a device classified for that use and were recorded as read, never estimated, carried over, copied from a packing list, or adjusted
